Project Coordinator
Overview
We are seeking a highly organized and detail-oriented Project Coordinator to join our agency team. The Project Coordinator will play a critical role in ensuring the smooth flow of projects through the agency by managing schedules, monitoring progress, and maintaining clear communication across departments. This role requires a proactive individual who can anticipate bottlenecks, facilitate meetings, and keep all stakeholders aligned on timelines and priorities.
Key Responsibilities
- Schedule assignments in the project management software (Workamajig) and update them as needed.
- Actively monitor projects, checking in regularly to ensure deliverables meet agreed-upon deadlines.
- Communicate with account service, creative, and other teams when projects need to be shifted or rescheduled.
- Create detailed project schedules in coordination with account service and creative teams.
- Provide bi-weekly workload reports to reflect the creative team’s accurate availability and capacity.
- Facilitate daily creative staff meetings, following up proactively on any issues raised.
- Lead the weekly full-agency staff meeting and distribute proactive recap emails to ensure alignment.
- Maintain the master agency calendar to include staff PTO, OOO and agency events.
- Reconcile digital campaign expenses on a weekly basis within Workamajig
Qualifications
- Bachelor’s degree required, preferably in Marketing, Communications, Business, or a related field.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Excellent communication and interpersonal skills for cross-departmental collaboration.
- Ability to quickly learn and adapt to new project management software and digital tools.
- Ability to stay calm under pressure and adapt quickly to shifting priorities.
